About the Opportunity:

The Executive Assistant will be an essential member of team who will work closely with the team leader to help the team further optimize its efficiency, deliver the highest level of representation possible to its clients, reach new clients, and market the business.  The role will blend administrative duties with operations, marketing, strategy, client support, and more.  It is an exceptional opportunity to join a highly successful team, make a big impact, and earn increased responsibilities and compensation over time.  Compensation will be commensurate with experience and will reward individual contributions and team results.  Total compensation is expected to be in the range of $50,000-70,000.

Initial Responsibilities

 

1.  Optimize Administrative Efficiency

·      Assist with the team’s operations

·      Ensure that agent activities are as limited as possible to listing property, showing property, negotiating contracts & lead generation

·      Optimize, create, and manage systems for sellers, buyers, client database management, lead generation tracking, and lead follow-up

·      Implement project management software and track activities as they are performed

·      Track agent sales volume and perform analyses of past sales data

·      Coordinate the purchasing of client gifts, office supplies, marketing materials, holiday cards, and other business related supplies and materials

·      Create & update a business operations manual

·      Run errands as needed

2.  Assist with Listings and Certain Purchase Transactions

·      Order/schedule listing photography/videography

·      Order sign installations and removals

·      Drop off/pick up lockboxes

·      Create listing marketing materials

·      Assist with the preparation of listing and buyer presentations

·      Attend certain client meetings

·      Assist with inputting listing information for MLS and marketing websites and update as needed

·      Assist with tasks relating to the acquisition of investment properties

·      Assist with drafting listings

·      Prepare certain listings for showings (lights on/off), drop off materials, etc.

·      Coordinate marketing of public open houses and broker open houses, including sign and balloon drop-off/pick-up for certain open houses

·      Input all necessary information into client database and transaction management systems

·      Organize contacts and optimize CRM

·      Assist with coordinating access for repairs, inspections, appraisals

·      Assist with pulling comparable sales to be provided to appraisers

·      Attend certain inspections, coordinate completion of repairs

·      Occasionally assist with showings when needed

3.  Market the Business

·      Order and track signage and other marketing materials inventory

·      Assist with the team website(s), draft articles for blog(s), and assist with social media marketing

·      Prepare comparative market analyses for past and prospective clients.

·      Assist with drafting the monthly client newsletter

·      Assist with the development of microneighborhood websites for lead generation

·      Assist with the tracking and analysis of inbound leads from websites, social media & other online sources

·      Write handwritten notes and/or address envelopes to past and prospective clients

·      Plan and execute multiple client appreciation and community service events per year

·      Create custom direct mail campaigns to market the team and cultivate new business

·      Compile agent call lists and make calls to agents promoting listings

·      Familiarity with REColorado, Compass, CTMecontracts is beneficial but not required

·      Possession of a Colorado real estate broker license (or willingness to obtain one) is beneficial but not initially required
